Job Description

Phoenix Family is hiring a Volunteer Coordinator to join our Development team in Kansas City. This is a full-time, in-person role based at our Home Office. The Volunteer Coordinator helps community members get involved in ways that make a real difference for families, children, and older adults living in affordable housing communities—connecting people who want to help with the programs that need them most.

About the Role
The Volunteer Coordinator is part of Phoenix Family’s Development team and helps community members get involved in ways that make a real difference for families, children, and older adults. This position manages the organization’s volunteer program—from recruiting and onboarding to scheduling and recognition—ensuring every volunteer experience is organized, positive, and meaningfully connected to Phoenix Family’s mission and community engagement efforts.

Volunteer Management
Recruitment and Outreach
  • Recruit volunteers through community partnerships, networking, volunteer fairs, online platforms, and word-of-mouth referrals.
  • Represent Phoenix Family at community events and meetings to share volunteer opportunities and build relationships.
  • Collaborate with the Development team to create and share recruitment materials through Phoenix Family’s website, email, social media, and partner networks.
Onboarding and Placement
  • Manage onboarding and screening processes, including interviews, reference checks, and background screenings.
  • Schedule and coordinate volunteer orientations led by program staff and conduct group orientations as needed.
  • Work with program staff to identify where volunteers are needed across our communities.
  • Match volunteers with opportunities that fit their interests and support program goals.
Engagement and Retention
  • Serve as the main point of contact for volunteers, providing timely communication and support.
  • Build strong relationships with volunteers to keep them engaged and connected over time.
  • Partner with the Development team to implement volunteer appreciation and recognition activities.
  • Ensure all volunteer activities follow Phoenix Family policies, insurance requirements, and confidentiality standards.
Data and Reporting
  • Maintain accurate volunteer records in Salesforce, including contact details, service hours, and background checks.
  • Track and share volunteer data to support reporting, donor updates, and grant applications.
  • Regularly evaluate volunteer engagement efforts and recommend improvements to strengthen program effectiveness.
Development and Program Support
  • Coordinate volunteer participation in Operation Backpack, Adopt a Family, and Adopt a Senior while working closely with the Development team.
  • Manage volunteer logistics for events and campaigns, including scheduling, communication, and documentation of volunteer hours.
  • Assist with materials and communications for volunteer-led drives, special events, and community activities.
  • Support Development projects with data entry, recordkeeping, and reporting related to volunteer engagement.
  • Take part in team meetings and contribute to Development’s goals around community engagement.

  • Comfortable working in an organization focused on helping families, children, and older adults in affordable-housing communities.
Technical Skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) required.
  • Experience with Salesforce (for volunteer database management) strongly preferred.
  • Familiarity with Mailchimp, Canva, and social-media platforms is a plus.
Other Requirements
  • Able to handle confidential information with discretion.
  • Able to work occasional evenings and weekends as needed.
  • Able to represent Phoenix Family well at events and in the community.
Work Hours: This is a full-time position based at Phoenix Family’s Home Office in Kansas City. Some late-afternoon or early-evening hours (typically ending by 6:30 PM) are required for volunteer events and meetings.

Travel: Occasional travel throughout the Kansas City metropolitan area with mileage reimbursement.
